DESCRIPTION
Performs legal administrative assistant duties for assigned timekeepers including word processing, transcription, time entries, client contact and administrative tasks. Asset Management/Securities knowledge a must.

Responsibilities and Duties:

1.Transcribes and revises tapes and handwritten materials in the daily production of correspondence, memoranda, timesheets and project work in the daily production of legal documents.  Edits finalizes, copies and distributes documents to clients, attorneys and staff.

2.Manages project completion by utilizing firm resources such as Office Assistants, Office Services and Word Processing.

3.Proofreads and redlines documents (manually and utilizing the computer), correspondence and memoranda to ensure accuracy of copy, grammar, punctuation and syntax.

4.Answers and screens telephone calls, greets clients, and handles routine client matters as requested.

5.Processes incoming and outgoing mail.

6.Coordinates travel arrangements for attorneys and clients.

7.Sets up and maintains personal and firm files designating disposition of files to file room as appropriate.

8.Enters and edits time entries completely and accurately on the computer time entry system in accordance with established schedules.

9.Performs a number of billing functions following firm policy and procedures.

10.Coordinates appointments, meetings and conferences for attorneys and clients including conference room scheduling, meals and preparation of materials.

11.Handles a wide variety of administrative responsibilities requiring familiarity with accounting procedures and support services such as supplies and mail, copy room and messenger service, etc.

12.Coordinates preliminary conflicts checks with records management to ensure attorney and firm ability to represent requesting party.

13.May prepare docket entry forms for incoming and outgoing court papers and to document specific actions required for legal proceedings and/or personal or firm requirements.

14.Performs a variety of administrative functions which may include processing new client/matter reports, expense reports, preparing notebooks and exhibits.

15.Performs other duties as assigned.
POSITION REQUIREMENTS
Qualifications:

1.High school diploma or equivalent; college degree preferred, or one year secretarial courses or equivalent.  Minimum of three years legal secretarial experience or equivalent.

2.Works with minimal instructions and guidance as needed; carries out recurring work and special projects independently; in addition to selecting appropriate firm guidelines to achieve objectives, often generates and implements new procedures for specific situations; ability to support at least one partner.

3.Knowledge and skills gained through education and/or experience and demonstrated ability to use knowledge effectively in the execution of tasks.

4.Ability to accurately type approximately 60 WPM utilizing transcription equipment and from handwritten drafts often more specialized and complex documents.

5.Ability to communicate effectively, both orally and in writing.

6.Ability to establish effective working relationships throughout the firm.

7.Demonstrated English language skills including excellent spelling, grammar, punctuation, form and style.

8.Knowledge of computer and system functions.

9.Knowledge of secretarial and office procedures and ability to efficiently operate a variety of office equipment including telephone, copy machines, facsimile equipment, calculators and scanners.

10.Good organizational skills for prioritizing workload.

11.Ability to compose correspondence.

12.Thorough knowledge of firm systems and procedures to efficiently meet client and attorney needs.

13.Demonstrated knowledge and understanding of legal terminology, court rules and procedures as they apply and legal document format which may be specialized or complex.

14.Knowledge of legal department’s functions and procedures – law library, file room, accounting.

15.Ability to work effectively under time constraints.

16.Willingness to meet the requirements of the position, accepting a wide variety of assignments as called upon.
